Registering for an Account and Submitting an Application
  1. When I enter my employment, I cannot find the childcare agency that I used to work for. How do I proceed? If you worked or are currently employed at a Michigan Child Care program including center or family care:
    • Select the first category: ‘Direct Care and education programs’
    • Search by Organization Registry ID, Employer name, City or Child Care License number. If you did not work in Michigan
    • Select the second category: ‘Employment outside the state of Michigan’
    • Enter the information on the screen If you work for an agency providing training services in Michigan,
    • Select the third option
    • Ask your employer for their MI Registry Org ID. (You can also look them up by name)
    • If you do not find them we recommend that you have your organization create an organizational account. Click here for information on creating an organization account.
  2. I keep getting an error message when I try to register for an ID and password in the system. Why is this happening?
    • Please make sure you are entering the last five digits of your social security number.
  3. I received an email asking me to submit documentation after I submitted my trainer application. Do I need to do this?
    • No. You do not need to submit or upload any documentation during this pre-approval period. The last day for trainer pre-approval is January 31, 2018.
  4. Could I have more than one individual profile? One for me and one for work?
    • No. The system will not allow for you to create more than one profile for yourself.
  5. What if someone is not able to obtain official transcripts?
    • Official transcripts can be obtained from the office of the registrar at your college or university. If individuals need assistance in troubleshooting any issues, they can contact support@miregistry.org. If official transcripts are not submitted, we cannot verify education in your profile. Official transcripts are not required during the trainer pre-approval window.
  6. What if your previous employer was early childhood-related but does not have a license number?
    • If your organization was early childhood related and does not have a license number, you can still enter them under the employment tab. You will select option two: ‘Employment outside the State of Michigan or employment not related to the field of early childhood or school age care’. This encompasses an organization or program that was not found using the other employer search options listed on the ‘Select Employer Type’ page.
  7. What if someone accidentally creates multiple accounts under different names or email?
    • The system is designed to ask for items that will identify someone with an existing account, so as not to allow for duplicate accounts. However, if this happens, contact the Michigan Registry for assistance.
  8. Is there a way to reset your password?
    • Yes. Click on the ‘Forgot user id or password’ link in the sign in box. You can also go to your Personal tab in your profile and click ‘Change Password’.
Managing Organizational Profiles
  1. Does administrative access give the trainer access to payment information and account information?
    • Yes, it does. Making someone an ‘organizational profile user’ means they have access to all your organization information. The difference between an organizational profile user and an owner is that the owner can approve new organizational profile users. It is best practice to limit your profile users to only those people who will enter courses or schedule events.
  2. If a child care center has an organization profile, could they see a list of employees connected to the organization?
    • Yes. If employees have entered their employment information, anyone with access to the organization account can see the list of employees.
  3. How do child care providers access their staff training logs?
    • An individual child care provider can access his or her training record by logging into his or her individual account and clicking on the ‘Training’ tab.
Courses and Events
  1. Some of our online classes have a variable registration date and class starts upon registration. How will that work?
    • Choose self-paced when scheduling the online class. The start date and end date now describe the period in which the event is open. You will then enter a completion date for everyone that takes the class.
  2. When you create an event, can we set it as public or private?
    • Yes. You can choose not to show the event in a public search.
  3. We offer correspondence courses in which participants are given a due date based on their starting date. Right now, in WLS we open the class the first day of the fiscal year and close it the last day of the fiscal year. How do we do that?
    • Choose self-paced on the event screen. Then set the start and end dates for your fiscal year. Select “Correspondence” on the location screen and you can supply the mailing information for the course.
  4. Will trainers have a template for courses?
    • The Michigan Registry will have a course approval and event entry guide for trainers and organizations. In the meantime, trainers can refer to the guides and resources at miregistry.org.
  5. Do Infant Toddler cohort trainings need to be put in the MI Registry? If so, do they have to be approved?
    • Yes. Infant Toddler trainings must be approved and should be added to the registry by Resource Centers.
  6. For CEUs and SCHECHs, does the trainer or ISD need to go through the application process.
    • Yes. Trainers and ISDs will have to go through the application process.
  7. How will training waivers work?
    • Waivers will no longer exist once MiRegistry is in place. Providers and educators can upload training documentation and the registry will show the training on the Learning Record.
  8. WLS training will be reflected in learning records as far back as when?
    • As far back as 2014 when WLS was introduced.
Unlicensed Providers
  1. Will we be able to see unlicensed provider records to see if they competed GSQ Orientation prior to March 1st?
    • The record of the provider’s training will be available to the provider only on their Learning Record and only if they created an account on MiRegistry. RCs will be able to view records through WLS for three (3) months following the transition to MiRegistry.
  2. Will we be able to see unlicensed provider training records?
    • No. A provider is the only one who has access to their Learning Record.
  3. How are we going to keep track of hours and class history for unlicensed providers for the state to sweep hours to maintain or obtain pay increase?
    • This will be done with a data share from MiRegistry to BRIDGES similar to what has occurred WLS.
  4. How are we going to monitor hours for unlicensed providers to ensure pay increase, accuracy and answer questions unlicensed providers have regarding training hours needed and timeline?
    • As long as providers take approved training or upload proof of training for the registry to approve, their hours and dates of completion will be listed on their learning records so that they may independently monitor timelines.
  5. How am I going to track levels for unlicensed providers to accurately report them to the state each month?
    • We are exploring reporting capability for this metric.
  6. Unlicensed providers will need training on how to create and maintain their account in the registry. Will there be resources available to them?
    • Guidance will be available on the website and will be shared through Resource Centers.
  7. What do unlicensed providers do if they don’t have an email?
    • To receive your ID and password, providers must have an email address that is unique to them. Sites such as Google and Yahoo provide email accounts for free.
MiRegistry Support
  1. How will one person be able to approve everything for the whole state?
    • It is standard procedure that one person champions trainer, course and event approval. The Registry has worked hard to create workflow processes that allow for approval in a timely manner. As pre-approved courses are being entered between now and March 1, they will be approved quickly. After March 1, we will begin taking a more critical look at course approval. At full capacity, we are allowing 2-3 weeks for course approval and 3 business days for event approval. However, we anticipate course and event approval will take less time.
  2. When will we get promotional marketing materials?
    • We have support guides and resources for individuals, trainers, organizations and providers to help assist them in navigating the MiRegistry system. If you have any suggestions for marketing materials needed, please feel free to reach out to us. We are currently working on promotional materials for use on your list serves, websites, and newsletters. We hope to share later this month (January).
  3. Who will be available to answer child care provider questions?
  4. When and how can we let providers know the registry is coming?
    • Communications will begin in January.
  5. Will there be an app?
    • Yes. There will be a mobile app as well as a membership card for providers and educators that can be scanned at the training to indicate attendance.
  6. Technology will be an issue regarding access and level of comfort for many providers. How can we help providers that have limited access to technology?
    • Guidance and support can come directly through MiRegistry via email or phone. Guidance will also be available on the website and can be accessed in the same way they access the internet to submit for payment to Child Development and Care.
